Plastic keys to the night facilities for Computer Science students: instructions starting on 10 September 2004
Students majoring in Computer Science, who actively pursue their studies, Majoring students in Computer science, who are studying actively, can apply for a plastic key for access (outside opening hours)
- to the night facilities (in Exactum) of the Helsinki University Computer Science Department
- to the night facilities of the IT Department (the Alexandria learning centre, the 24h classroom in Physicum and the 24h classroom in Exactum in Kumpula, and the IT station in the A house in Viikki)
- to the students organisation?s (TKO-äly) room in Exactum
Students pay a deposit of 25 Euros for the keys.
Minoring students, please follow the instructions of the IT Department..
Applying for a plastic key:
Students majoring in Computer Science can have their first key without reservations. The key is re-issued only if students have made good progress during the previous term (at least 20 cu as a general rule) or their study plans have been accepted.
How to apply for a new key
- Students should fill in an application form (it can be filled in and printed with the Acrobat Reader program). The application form is also available from the student counselling (Exactum A232) and department office (Exactum D239).
- Students pay a deposit to one of the Unicafe cafeterias that accepts deposits (the Unicafe cafeterias at Ylioppilasaukio, Physicum in Kumpula and Korona in Viikki).
- Please bring the filled-in and signed form and a receipt for the deposit in person to the key manager at the department (Pirjo Kokkonen, department office, D239); in addition, students must bring a valid student card.
- The key manager
- will record the access data of the key into the access control database and archive the application form
- will hand over the key to the student
Applying for re-issuing an old key
- Please bring the filled-in and signed form and a transcript from the student register, and if so required, a study plan, in person to the key manager at the department (Pirjo Kokkonen, department office, D239); in addition, students must bring a valid student card.
- The key manager will record the re-issue of the key into the access control database and archive the applications form.
For continuous access, re-issuing must be applied for at least one week before the validity ends.
Validity of the key
The key is valid until the end (the 30th) of September the same or the following year. The validity will automatically end on that day, whether the student hands in the key or not. The validity can be continued by applying for the key in the same way as before. To ensure that the validity continues without a break, it should be renewed at least a week before the end of September.Using the plastic key
Students who visit the building outside opening hours should be prepared to prove their identity to porters or watchmen on demand, with an id issued by the authorities or with their student card. Persons issued a plastic key should honour the following rules:
- the key is the property of the university and is issued for personal use; it may not even temporarily be handed over to another person
- you cannot use the key to let in other persons into the university facilities
- you must return the key if you stop studying at the CS Dept.
- holders of keys must heed other rules about the use of the facilities.
Students who break these rules forfeit their keys and the deposit.
Returning the plastic key
Keys should be returned to the CS Department office (Exactum, D239). When returning a key, students receive a chit with which to claim back the deposit from the Unicafe cafeteria in the university?s Main Building.
The key must be returned within two years of leaving the department, or the deposit will be forfeited.
The deposit for access that has been granted before 1 July 2003 can be paid into the university's bank account. The deposit (16.80 Euros) for these keys can be claimed only through Unicafe at Main building. Students will fill a form with their information when returning the key. After that person will be given a receipt for the deposit.
If the key disappears
If a key disappears, you should inform the CS Department office as soon as possible (during opening hours), and the key will be invalidated immediately. Students are responsible for their keys until they have declared them missing. if a key disappears, the deposit is forfeited and students must apply for a new key.
